Frequently Asked Questions (FAQ)

1.   Setup Questions

Why doesn’t my Advisory Council Name show up on the list of names?

KairosDonor must be configured for any new Ad Councils.  The State Financial Secretary should contact the KPMI office and provide the following information so that KairosDonor can be configured for the new Ad Council before KairosDonor will be shipped.  See the section of this website for New Ad Council.

Advisory Council Name (as it is to appear in the State Quickbooks Class)

Advisory Council Financial Secretary name, shipping address, and email address

Advisory Council Treasurer name and email address

Why don’t I get asked for the beginning bank balance when I go through the Setup?

Only Advisory Councils that have a bank account will be asked for the starting balance.  That means that only Advisory Councils in Model 2 states will provide balance information.

I am in a Model 2 state. Why am I asked what the outstanding advance balance is?

In a Model 2 state, KairosDonor will help you keep track of the settlement of advances, and if you have an outstanding initial balance, KairosDonor will allow you to record receipts against it to track the settlement of those advances.

I am a state Financial Secretary.  When I set up KairosDonor, should I indicate that I am operating as a State (the same question would apply to an Area Financial Secretary with regard to setting up as an Area)?

Probably not.  The normal mode of operation for KairosDonor is as an Advisory Council. Typically, the state (or Area) Financial Secretary would set up as an Advisory Council, and then select their state chapter (or Area) as the Advisory Council.  This allows you to record donations and transactions for that “Ad Council.”

The only time that you would set up for “State” or “Area” mode of operation is when you will be actually performing all the financial recording and reporting for more than one Advisory Council.  KairosDonor only records transactions for one Advisory Council.  The “State” or “Area” mode simply allows you to setup more than one Advisory Council in KairosDonor, but you have to select which Advisory Council you are operating as when you are recording transactions.  KairosDonor does not consolidate data from multiple Advisory Councils.
